How It Works

Agency Command Center — Your Agency on Autopilot

This guide is for every agent — whether you have been in the industry 30 years or 30 days. No tech experience needed. If you can send an email, you can use ACC.

The Short Version

You sign up. You answer three quick questions about your agency. ACC starts working overnight. You wake up to results.

That is it. There is nothing to build, configure, or maintain. ACC runs in the background while you focus on clients.

Step 1 — Sign Up (2 minutes)

Go to app.theagencycommandcenter.net and click Start free trial.

You do not need a credit card. You do not need to cancel anything. Your 14-day trial starts the moment you create your account.

Step 2 — Answer Three Questions (3 minutes)

After you sign up ACC asks you three questions. These are the only setup questions you will ever answer.

Question 1: What is your biggest challenge right now?
Pick the one that fits — compliance, marketing, client follow-up, or all of the above. ACC uses your answer to show you the most relevant things first.

Question 2: What state are you primarily licensed in?
Pick your main state from the dropdown. ACC uses this to set up your compliance monitoring automatically.

Question 3: Who is your primary carrier?
Type in the name. This helps ACC understand your book and personalize your experience.

That is all the setup there is. You are done.

Step 3 — ACC Starts Working Tonight

The moment you finish those three questions ACC activates 14 automations on your behalf. These run every night while you sleep.

You do not turn them on. You do not configure them. They just run.

Here is what happens overnight on your very first night:

Renewal tracking starts. Every client you add gets monitored automatically. ACC sends you reminders at 60 days, 30 days, and 7 days before any renewal. You never miss one again.

Retention watch begins. If any client's engagement drops ACC flags them for you the next morning. You find out before they quietly leave.

Your compliance profile is active. If you have Helm, every piece of content you create gets checked against your state's advertising rules before it goes anywhere.

Step 4 — Check Your Dashboard Every Morning (2 minutes)

Your dashboard is your morning briefing. ACC has already done the work. You just need to see what it found.

Here is what you will see:

Today's Focus — the three to five things that need your attention today. Renewals coming up. Clients at risk. Requests from clients. ACC puts the most important things at the top so you never have to hunt.

Book Health Score — a single number that tells you how healthy your agency is. It scores your retention, client engagement, multi-line mix, and growth. Check this weekly. When it goes up you are doing well. When it drops ACC will tell you why.

Your automations ran overnight — at the bottom of the dashboard you will see what ACC did while you slept. Reminders sent. Risks flagged. Opportunities surfaced. Real work done on your behalf.

Step 5 — Add Your First Client (1 minute)

Go to Book in the left menu. Click Add client. Enter their name, phone, and email. Add their policy details.

Once a client is in ACC they are monitored automatically from that moment forward. Renewal tracking. Retention scoring. Cross-sell opportunities. All of it starts the moment you add them.

Getting your clients into ACC

ACC works best the moment your book is inside it — so getting your clients in is the most important first step.

There are three ways to do it depending on how your book lives today:

Option 1 — Export from your current AMS (fastest)
If you use HawkSoft, Applied Epic, EZLynx, AgencyZoom, NowCerts, Vertafore, or any other agency management system, export your client list as a CSV or Excel file. Every major AMS supports this — usually found under Reports or Exports in your AMS settings. Then go to Settings in ACC and upload the file. ACC will map the columns and import your clients automatically. The whole process typically takes 15 to 30 minutes.

What to include in your export for best results: client first name, last name, email address, phone number, policy type, carrier name, and renewal date. The more complete your export the faster ACC's automations start working for your book.

Option 2 — Upload a spreadsheet
If your client list lives in Excel or Google Sheets already, you can upload it directly. No AMS needed. Go to Settings → Import clients, upload your file, and ACC walks you through matching your columns to the right fields.

Option 3 — Add clients one at a time
If you are just getting started or have a smaller book, you can add clients manually from the Book section. Click Add client, enter their details, and ACC starts monitoring them immediately. Most agents with fewer than 50 clients find this takes less than an hour spread across their first few days.

Step 6 — Use Voice Memos After Every Client Call (30 seconds)

After any client call or meeting tap the microphone button in the bottom right corner of any page. Talk. Tell ACC what happened.

ACC transcribes your memo, pulls out the action items, updates the client file, and creates calendar reminders — all automatically, usually within a few minutes.

You never have to type up a call note again.

If you mention a client who is not yet in your book ACC will ask if you want to create a new prospect record. One tap and the new client is in the system with your notes already attached.

The Five Things ACC Does Automatically — Every Single Day

You do not have to think about any of these. They just happen.

The Client Portal — Give Your Clients a Better Experience (Producer and Agency)

Once you are set up you can give each client their own secure portal with one click.

From any client record click the Portal tab and click Generate Portal Link. Send the link to your client by text or email.

Your client clicks the link, enters a quick verification code, and lands on their personal portal. They can see their policies, download their documents, send you a message, or submit a request — without calling you.

Every message and request they send shows up in your Today's Focus automatically. Nothing gets lost.

Share Your Results Every Monday

Every Monday morning ACC generates a branded results card showing what your agency accomplished that week — automations that ran, clients monitored, compliance flags caught, content published.

A banner appears on your dashboard with a one-tap share option. Share your card on LinkedIn, Facebook, or in your agent community groups. Every share includes your personal referral link. When another agent signs up using your link and activates their account you earn a 6-month extension on your Founding Agent Program rate.

The Help button is always in the bottom right corner of every page — the navy circle with the question mark. Tap it anytime to search for answers or browse the ten most common questions.

ACC is not software you have to learn. It is a system that runs for you.
